We are seeking a highly organized and client-centric Event & Exhibition Project Executive with hands-on experience managing exhibition booth fit-out, build, and production projects from conception to on-site delivery.
This role is focused on project coordination for exhibition booth design, fabrication, logistics, and delivery — ensuring client requirements are executed flawlessly with quality, timing, and budget accuracy. This is not a sponsorship, media, or delegate focused role — it is core to exhibition stand production and project management.
Key Responsibilities
Client & Stakeholder Engagement
Serve as the main point of contact for clients during the project lifecycle.
Gather detailed booth specifications, design requirements, and site needs directly from clients.
Maintain ongoing communication with clients to ensure expectations are met or exceeded.
Project Planning & Execution
Coordinate and manage exhibition stand projects from kick-off to on-site delivery.
Work closely with:
Design and drafting teams
Production, fabrication, and workshop teams
Logistics, transport, and on-site installation crews
Ensure all deliverables align with client specifications and exhibition deadlines.
Documentation & Procurement
Prepare and manage scopes of work, BOQs, quotations, and technical drawings.
Coordinate procurement of materials, fittings, AV equipment, furniture, lighting, and branding elements.
Track budgets, variations, and cost controls in line with project objectives.
On-Site Execution
Oversee installation and dismantle phases on-site during exhibitions.
Troubleshoot issues, ensure safety standards, and optimize workflow with contractors and suppliers.
Monitor quality control and compliance with venue regulations.
Reporting & Follow-Up
Provide regular project status updates to internal leadership.
Maintain accurate documentation, timelines, and reporting for all projects.
Conduct post-event evaluations to support continuous improvement.
Required Experience & Profile
✔ Minimum 2–4 years of direct exhibition project execution experience, preferably in booth construction, fit-out, or event production environments.
✔ Strong coordination with design, fabrication, logistics, and on-site teams.
✔ Experience working with technical drawings, BOQs, quotations, and vendor coordination.
✔ Comfortable managing multiple projects simultaneously.
