We are seeking a smart, proactive, and dynamic Executive Secretary to provide high-level administrative support to our Chairman and COO, based at our prestigious offices in One Za’abeel. The ideal candidate will be confident, polished, and capable of working with high-level stakeholders in a fast-paced, high-pressure environment.
This is not a behind-the-scenes role – we're looking for someone with strong presence, a go-getter attitude, and the ability to represent the office with professionalism and warmth.
Key Responsibilities:
Ensure seamless and confidential management of the Chairman’s and COO’s daily operations and schedules.
Handle all aspects of the travel desk – flight bookings, visas, hotels, itinerary management, and last-minute changes.
Welcome and coordinate visits for VIP guests and delegations with cultural sensitivity and top-tier hospitality.
Prepare meeting agendas, presentations, minutes, and track follow-ups on key action items.
Support personal branding, PR, and executive visibility activities of the Chairman and COO.
Liaise with internal departments and external partners on behalf of the executives.
Coordinate executive meetings, boardroom setups, off-site events, and high-level corporate gatherings.
Prioritize competing demands, anticipate needs, and provide proactive, end-to-end support.
Manage special projects or any delegated tasks with accountability and professionalism.
What We’re Looking For:
2–4 years of UAE-based experience supporting C-level executives in high-performing environments.
A natural communicator – confident, articulate, and polished.
Proactive and detail-oriented, with a solutions-first mindset.
Not shy or introverted – must be comfortable dealing with high-profile individuals and public-facing tasks.
Strong organizational and project management skills – able to follow through on multiple priorities.
Demonstrates discretion, loyalty, and emotional intelligence.
Ability to work under pressure and manage last-minute changes calmly and effectively.
High level of professionalism, executive presence, and personal grooming.
Experience with VIP protocol, hospitality arrangements, and cultural sensitivity.
Fluent in English; Arabic or additional languages is a plus.
